Intake & Scheduling Coordinator

 Dunbar Eye Associates is seeking a Patient Intake & Scheduling Coordinator to schedule exams, collect insurance and demographic information, and prepare patient charts for handoff to the clinic team. This position will work closely with the Patient Billing Coordinator and Insurance Billing Coordinator.

Specific duties include:

  • Check in arriving patients

  • Answer incoming phone calls

  • Schedule patient exams according to template

  • Monitor and respond to incoming text messages

  • Collect complete demographic, contact, and insurance information on patients

  • Take phone orders for contact lens orders

  • Take patient medication refill requests and relay to doctors

  • Check on status of glasses orders

  • Triage eye and vision emergencies for scheduling

  • Retrieve insurance authorizations prior to patient appointments

  • Confirm appointments to maintain a high kept appointment rate

  • Follow-up with no-show patients and apply scheduling policies as appropriate

  • Log patient arrivals and collect patients’ medical insurance cards and forms

  • Scan welcome forms to patient charts and prepare routing tickets for clinic

  • Assist with patient check out as needed

  • Assist with optical hand-offs as needed

  • Other duties as assigned

Ability to navigate computer systems:  The employee is able to navigate computer systems and enter data reliability and quickly.

The successful candidate will have a high school diploma or equivalent; preference will be given to candidates with college degrees in a relevant field. Competitive pay and benefits.
